Issue Management workflow -- careful which version you use
Through many hours of troubleshooting problems with the Issue Management workflow (original problem was that Reassign Reviewer failed to reassign based on Role/Community), my Collibra Support rep Steven Hansen and I discovered that the default workflow included with my instance of 2023.08, and the downloadable workflows published on the product resource site are flawed. Fortunately, Steve found a version that appears to work as expected (attached at a text file… you will have to save as BPMN to use).
The following seem to be key differences (for the script tasks that set user responsibilities, specifically script task 11 (set reviewer) and script task 13 (set assignee)):
- The working version sets the listOfUsersFromRole to be null as an initialization step
Set listOfUsersFromRole = []
Whereas the bad version starts immediately with a population of users from roles - The working version uses a conditional IF statement to only populate the list of users if there is a workflow user input for role, group, user; for example:
if(execution.getVariable(‘role’)){ - The working version uses a slightly different call to populate users by role
users.getUsers(role)
Whereas the bad version uses
users.getUsersFromRoles(role) - At the completion of reviewerRole reassignment, the working version clears out values for role, group, user
execution.removeVariables([‘userName’, ‘group’, ‘role’])
Hopefully you can avoid a lot of grief by getting the working version of this workflow.
