Business Process Documentation

Hi folks,

I have been looking into options to incorporate ‘approved business processes’. Previously this would be achieved using Visio or Draw.io with documentation in SharePoint or Confluence etc.

I would like to have this captured in Collibra but doesn’t seem to quite fit with ‘Business Rule, Standard’ etc. Has anyone got a good way to capture this in Collibra, apart from having a link from an asset or business term to SharePoint or confluence saying here is the business process on how this is created or how to change etc.

Feel like this might be a gap in process governance that could be captured well in Collibra??

I have found Collibra documentation around creating business processes but like Tom has mentioned it doesn’t seem to be OOTB.
Business process is an asset type in Business Dimension domain. But then there are no step, stage, task, activity attributes already assigned.
I would like the business to be able to use Collibra for storing business processes but at the moment I think it is not business user friendly enough for this.
Seems like I will have to play around as there is no good marketplace downloads yet either.

I love this question, this is something that absolutely belongs in Collibra and elevates the business context to a much higher level.

What we have done is created an asset model that has Business Process, Stage, Business Process Step, Processing Activity, Milestone, Deliverable etc. We also have Teams in Collibra.

We then set relationships like the examples below

Grouping - For e.g. Business Process has Stage
Sequencing - For e.g. Stage is preceded/succeeded by Stage
RACI - For e.g. Team is Responsible for Business Process Step
Milestone - For e.g. Stage has Milestone

This can be tweaked to suit the way your company operates, perhaps RACI is at a department level or more granular than teams. We have also set up hierarchy views and diagram views, so that there is no need to maintain it as a diagram elsewhere. I hope that gives you some ideas.

@hamish.morgan We also have worked on this problem, and we have a reasonably good-looking Business Process asset type, complete with diagram views.

However, we find it difficult to make the process simple for users.

@simla.sivanandan.collibra.com, Could I ask what you were able to do to make Business Process entry more accessible to users?

Also… Any chance of Collibra getting real OOTB business process asset types It’s be cool if we could import BPMN diagrams (https://productresources.collibra.com/ideation-platform/?id=DGCPLAT-I-760).

Hi @tomfriesen - I'm assuming you created custom asset types for 'Activity', 'Decision', and 'Conditional Next Step'? I'd love to get a little more information about how you got to that pretty nice-looking diagram view! (Yes, I know this is a two-year-old question, but I didn't need to know until now :-))

Hi Kathleen,

Yes: we did modify the asset model as you described. And there may be better ways of doing this. By making the Decision asset type a subtype of Activity, we were also able to keep the diagram quite simple. The Conditional Next Step is a complex relation.

Totally agree.
You can create a “Business Process” asset type as child of “Business Dimension”.

Yes Business Process asset type seems to just define a business process. It doesn’t help with the process mapping. Quite a few people asking why this isn’t included. Oh well, URL link to some visio document for now, or an uploaded screenshot.
